Job Description

Job Summary:

As an Operations & Administrative Support member at EV Dance, you will play a vital role in ensuring smooth daily operations and delivering high-quality service to our clients, dance coaches, and team. Your responsibilities will range from managing day-to-day administrative tasks to coordinating events and maintaining operational efficiency across all departments within the company. This position is ideal for someone who enjoys a fast-paced, dynamic environment and is passionate about contributing to the success of a creative dance company.

 

*Key Responsibilities:*

 

- *Administrative Support:* Handle a variety of clerical tasks, such as answering phone calls, responding to emails, and preparing documents, including office correspondence, memos, and presentation materials.

 

- *Client & Coach Coordination:* Communicate with schools and dance coaches to discuss project expectations and goals, ensuring clear understanding and alignment.

 

- *Schedule & Meeting Management:* Organize and manage appointments, meetings, and schedules for clients and dance coaches, ensuring timely and efficient coordination.

 

- *Project Management:* Oversee project deadlines and progress, working closely with the team to ensure the delivery of projects on time, within budget, and to the highest standards.

 

- *Project Oversight:* Ensure that projects are delivered according to specifications and quality expectations, making adjustments as needed to meet schools/clients needs.

 

- *File & Record Management:* Maintain and organize office files, including job and vendor files, ensuring easy access and proper documentation of all necessary information.

 

- *Event Coordination:* Schedule and manage dance classes, workshops, and events, ensuring optimal resource utilization and client satisfaction.

 

- *School/ Client Support:* Serve as the main point of contact for client inquiries, ensuring prompt and professional resolution of issues and maintaining excellent customer service standards.

 

- *Administrative & Reporting:* Handle administrative tasks such as record-keeping, documentation, and report generation, ensuring accurate and timely updates.

 

- *School & Program Coordination:* Collaborate with schools to schedule CCA and enrichment programs, ensuring they align with academic calendars and other school activities.

 

- *Instructor Coordination:* Work with dance instructors to understand their needs, ensuring that dance programs are aligned with their expectations and are efficiently managed.

 

- *Feedback & Improvement:* Collect and assess feedback from clients/schools and instructors, identifying areas for improvement and implementing strategies to enhance the quality of our dance programs.

 

- *Additional Duties:* Perform any other related tasks as needed to support the smooth operation of the company.

 

Qualifications & Skills:

 

- Strong organizational skills and attention to detail

- Excellent communication and interpersonal skills

- Ability to handle multiple tasks simultaneously in a fast-paced environment

- Proactive, self-motivated, and able to work independently and as part of a team

- Prior experience in administrative or operations roles is a plus
