As the first point of contact, our Clinic Reception Executive ensures a smooth, welcoming experience for clients seeking mental health support. This role goes beyond front desk duties, you'll manage appointments, handle enquiries, support daily clinic operations, and help maintain a warm and organised space. Job Description

Responsibilities

Provide quality lounge-side reception and check-in/out service to clients, including the handling of:

  • Provide warm and efficient front desk service, ensuring a smooth check-in and check-out experience for clients
  • Manage client registrations, appointment scheduling, and walk-in enquiries
  • Handle payment processing, invoicing, and financial record-keeping
  • Perform general administrative tasks, including managing records and the clinic’s file system (Microsoft Excel/Word)
  • Coordinate psychologists’ calendars, room bookings, and send appointment reminders and follow-ups
  • Respond promptly and professionally to phone calls, emails, and client enquiries
  • Maintain cleanliness and organisation of clinic spaces, including vacuuming, mopping, and tidying consultation rooms and common areas
  • Wash and store clinic dishes, ensuring a clean and welcoming environment for clients and staff
  • Support daily clinic operations to ensure a welcoming and efficient environment

Required Qualifications and Experience

  • Maturity of character, sensitive to mental health clients
  • Similar experience in a mental health or clinic setting will be advantageous
  • Meticulous and organised, able to self-prioritise and perform with minimum supervision
  • Fluent English required; Mandarin or Bahasa speaking skills an advantage to attend to clinic phone calls, e-mails and enquiries in a timely and professional manner from English, Mandarin and Bahasa speaking clients
  • An “enabler” to assist our psychologists in providing the best level of care to our clients
  • Friendly personality with a positive working and learning attitude
  • Full time (5 day work week - including Saturdays. One week day will be off in-lieu)
