Job Description

Responsibilities:

  • General accounting, HR, secretarial and administrative duties.
  • Liaise with external parties e.g. government authorities, corporate secretarial agents, tax agents, external auditors, banks etc., where necessary.
  • Drafting Policies and SOPs related to Operations and HR processes.

  • Accounts
    • Prepare monthly profit/loss and balance sheet reports.
    • Manage AR/AP, Purchase Orders, monthly bookkeeping, and bank reconciliation in XERO accounting system.
    • Monitor and process payments to suppliers via bank transfer.
    • Monitor fixed assets and maintain fixed asset register.

  • HR
    • Process payslips (SimplePay), and process monthly payroll via bank transfer.
    • Process monthly CPF/SDL/SHG fund contributions.
    • Process employee expense claims and reimbursements.
    • Submit statutory documents and all employer related claims (NS makeup, maternity/paternity, childcare leave, IR8A, CPF submission, SDL, CDAC, etc.).
    • Manage employee leaves on SimplePay HR system.
    • Manage Employee Stock Ownership Plan (ESOP).

  • Secretarial
    • Handle corporate secretarial works such as drafting resolution i.e. Change of Directors, Transfer of Shares, Allotment of Shares, Annual General Meeting, etc.
    • Perform E-Filing with ACRA and Stamping with IRAS independently.
    • Update the Statutory Registers and corporate records required by the Company Act.
    • Arrange for notarization and legalization of documents from time to time.

  • Logistics
    • Issue Purchase Orders on XERO and send orders to suppliers.
    • Assist in logistics by liaising with 3rd-Party Logistics on shipments and deliveries.

  • Office Manager
    • Manage Company groupware/software (Office 365, ApprovalMax, SimplePay, Xero).
    • Manage office supplies and inventories.

Requirements:
• Diploma in Accountancy or similar accounting qualification.
• Experiences in Accounting, HR and/or Corporate Secretarial roles.
• Proficient in preparing monthly financial/management reports independently.
• Proficient in processing monthly payroll and CPF contributions.
• Proficient in XERO accounting software.
• Experienced in Office 365, ApprovalMax, SimplePay software.
