Job Description

We are seeking an organized and detail-oriented Scheduling Coo.rdinator to manage appointments, meetings, and resource allocation efficiently. The ideal candidate will have strong communication skills, the ability to multitask, and a proactive approach to resolving scheduling conflicts. This role ensures smooth operations by coordinating schedules for staff, clients, or resources.

Key Responsibilities:

  • Schedule and confirm appointments, meetings, and events for team members, clients, or facilities.

  • Coordinate calendars using scheduling software (e.g., Google Calendar, Microsoft Outlook, Calendly).

  • Communicate with internal teams and external clients to confirm availability and resolve conflicts.

  • Maintain accurate records of bookings, cancellations, and changes.

  • Send reminders and follow-ups to participants before scheduled events.

  • Assist with resource allocation (e.g., conference rooms, equipment, staff).

  • Generate reports on scheduling metrics (e.g., attendance, no-shows).

  • Provide administrative support, such as preparing agendas or coordinating travel arrangements if needed.

Requirements:

  • Proven experience as a Scheduling Coordinator, Administrative Assistant, or similar role.

  • Proficiency in scheduling tools (e.g., Microsoft Outlook, Google Calendar, scheduling apps).

  • Excellent verbal and written communication skills.

  • Strong organizational and time-management abilities.

  • Ability to prioritize tasks in a fast-paced environment.

  • High attention to detail and problem-solving skills.
