As Corporate Intern, Operations, you will report to the Quality Manager and support the formulation and development of key operational project. You will be an ambassador for Capella Hotel Group in all professional settings, in speech and demeanour.
Patina Brand Standard System:
- Work closely with the Corporate Quality Manager to understand and incorporate key brand guidelines and standards into the hotel's operations and training materials.
- Develop a brand standards library to ensure properties have easy access to the latest brand-related materials, for both Capella and Patina brand.
- Assist in the implementation of brand standards across various properties.
Quality Assurance Audit:
- Assist in reviewing and organizing current documents (including current policies, procedures, and brand standards), to ensure compliance.
- Collection and processing of data: preparing audit trails, including creating and organizing findings, and recommendations. Drafting communication materials such as audit reports, summaries, dashboards and presentations to track audit findings and trends.
- Assist in creating process maps and flowcharts to visualize and document processes.
- Conduct research on industry standards, regulations and best practices to support audit activities.
- Help develop and review checklists for audits, ensuring they are comprehensive and up-to-date.
Operations Conference and Senses of Capella:
- Coordinate conference agenda, including session topics, timings, and speaker information and schedules.
- Develop and manage a comprehensive checklist to ensure all tasks are completed before the event.
- Liaise with attendees, speakers, sponsors, and stakeholders to ensure a smooth experience.
- Manage travel logistics, accommodation, and other administrative tasks as required.
- Coordinate with internal teams to ensure necessary support and resources.
- Ensure timely communication and provide updates to all stakeholders.
- Manage conference expenses, budget, and financials.
- Prepare conference materials, including presentation decks and visual materials.
- Assist with conference setup, registration, and execution on the event day (only for Operations Conference).
Project Coordination:
- Manage and oversee set projects simultaneously, ensuring that timelines and milestones are met.
- Communicate regularly with project stakeholders to provide updates on project progress and gather feedback.
- Identify and resolve any issues or challenges that may arise during project execution.
Documentation and Reporting:
- Maintain detailed records of project activities, decisions, and outcomes.
- Generate regular reports summarizing project status, achievements, and areas needing attention.
- Create presentations and materials to communicate project updates to senior management and other relevant stakeholders.
Research and Benchmarking:
- Stay up to date with industry trends and best practices related to hotel operations, training, and brand standards.
- Conduct research and benchmarking to identify opportunities for improvement and innovation in project areas.
Ad Hoc Tasks:
- Assist in additional tasks and projects as assigned.Be flexible and willing to contribute to the success of the department and the organization.
