We are seeking a resourceful, organized, highly-driven, effective and calm Executive/ Personal Assistant to join our Sustainable Finance and Impact Investing Family Office. This role reports directly to the CEO. The ideal candidate possesses excellent executive, team management and development skills to support the CEO and the CEO’s team in an expansion phase of the Group, as well as other business executive skills crucial to support business decision making in a fast-paced and high-growth environment. To succeed, the ideal candidate is expected to balance the needs and requirements of multiple stakeholders and be ready to pitch in wherever necessary.

Job Description

Key Responsibilities:

Executive Assistance

  • Calendar Management: manage the CEO’s daily schedule effectively, vet and manage requests, prioritize tasks, provide alternatives to requestors to optimize operations.

  • Executive Communication: maintain accurate database of the CEO and key contacts; serve as the primary point of contact for both internal and external stakeholders, personal and professional correspondences; facilitate management and strategy meetings, interviews, business events etc.

  • Project Management: assist with short-term and long-term project management for the CEO and other executives.

  • Research and Review: perform literature search and reviews to support the CEO office’s work; review documents, reports, and presentations for executive meetings.

  • Presentation: prepare audience-oriented, clear and effective presentations, meeting agendas / materials, plan and schedule with stakeholders / business partners in advance.

  • Follow-through: Produce comprehensive meeting minutes to ensure clear communication and action items; and ensure follow-through.

  • Finance / Budget: assist with budget management and financial reporting related to the CEO’s office.

  • Business trips: all logistics arrangements.

Business Partnership Support

  • Team Management: assist with performance assessments for the CEO’s office team members, identify outstanding high-achievers, recommend/ execute appropriate rewards or control measures

  • Team Development: provide ongoing support, design training programs, organize team-building activities and departmental events.

  • Talent Acquisition: end-to-end support eg. JDs, conduct interviews, due diligence checks, ensure work visa applications / compliance (if required) and onboarding.

  • Employee Relations / Business Partnership: provide ongoing support, maintain a cohesive, professional and organized work environment.

  • Admin: provide ongoing support and handle ad-hoc tasks as assigned.

Qualifications:

  • 3-5 years of relevant work experience in Executive or Personal Assistance, Business Admin / Management, Paralegal, Human Resource, Office Management etc.

  • Outgoing, collaborative and possess strong interpersonal skills.

  • High emotional quotient (EQ), able to handle ambiguity and possess high problem-solving skills.

  • High adversity quotient (AQ), able to work under stress and stay calm/ professional.

  • Excellent organizational skills, able to multitask and prioritize effectively to deliver multiple outcomes.

  • Working knowledge of business and employment laws in Singapore as well as the candidate’s home country; general HR principles and practices.

  • Positive attitude, strong sense of responsibility, and a reliable team player.

  • Excellent written/ verbal communication skills, preferably in both English and Chinese.

  • Highly inclined to confidentiality, discretion and risk management.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Slides, Sheets), and other common desktop/ mobile apps.
