Job Description

Human Resources Intern (12-months)

Position Description:

The CLSA Human Resources team is an integral part of CLSA. Currently based in the Hong Kong headquarters, as well as Singapore, India, Japan, London and the US, the team is well respected for their accurate, timely, pragmatic and personal approach to Human Resources matters. CLSA is a busy and demanding environment supporting a stockbroking, capital markets and asset management business comprising of over 1,500 dedicated professionals in 21 cities across Asia-Pacific, as well as Europe and the USA.

The main purpose of the HR Intern position is to provide general support and assistance to the local Human Resources team, while observing and building knowledge as it relates to the HR environment. The role grows with the incumbent as knowledge and skills progress and more autonomy to complete tasks is developed. Responsibilities include administrative support to the HR Business Partner, Learning & Development (L&D) & Payroll functions, SAP data input, assisting with HR projects, coordinating meetings and training and providing general support on employment and HR related matters. Responsibilities may vary and tailored to ensure a manageable workload.

This, like all roles within CLSA’s HR team, is a busy hands-on role and will suit an individual with rapid learning skills, ability to multitask, a keen eye for detail and the ability to deliver timely, high quality work at an administrative and operational level.

This position is for a 12 months direct contract located at Singapore office.


Key Responsibility Areas (KRA’s):

Staff movements, correspondence and records

·         Drafting Employment Offer letter

·         Coordinating Joiner Start Day arrangements

·         Prepare employment confirmation, promotion, salary increase, title/location/department change, and contract extension letters for staff

·         Co-ordinate Leaver Process including acceptance of resignation confirmations, leaving agreements, exit formalities, etc.

·         General filing and administration as needed (which may require correspondence with HK HR for action/filing)

·         Raise Joiner / Leaver / Transfer SCR

·         Probation / Contract Expiry monitoring

·         New Joiner / Leaver Pack coordination

·         Intern coordination including induction

·         Coordination of staff relocations with Admin

General HR Administration

·         Updating Recruitment Activity Report

·         HR Invoice Management

·         Maintaining SG e-files & p-files

·         Answering phone calls and message taking

·         Generate monthly HR reports - Exchange Rate, IT Command Centre, etc.

Recruitment

·         Job Opportunities @ CLSA Administrator

·         Maintaining Global recruitment statistics

·         Provide support for Recruitment process related initiatives

·         Job Posting on SG Jobs Bank & candidate coordination

Data Management

·         SAP input for new joiners / leavers / contract expiry / reporting line / UDAK changes, etc.

·         Generate ad-hoc reports from SAP and format/present for business decision needs (staff headcount, staff leave, block leave requirements, etc.)

Payroll Support

·         Payroll admin support (payroll filing, audit document retrieval, MC verification, shift claim verification, etc.)

·         Medical Leave certificate & application monitoring

·         Manage work pass application process

Learning & Development

·         Provide support for HR training sessions including updating presentation materials, reserving conference rooms, maintaining staff attendance records, and creating meeting reminders for staff

·         Coordination of Lunch & Learn sessions

·         Provide general administrative support to the Head of L&D as required

·         Coordinates all mandatory training records and produces ongoing regular and ad hoc attendance reports for Head of HR and HRBP team

·         Updates various feedback surveys as required and analyses all reports for reporting purposes

·         Assists with the updating of various PowerPoints as required by the Head of L & D

·         Reporting for online learning portal – Intuition @ CLSA

Team Support

·         Act as a back-up to local team members as required

·         Provide general support and assistance to the broader HR team as required

·         Contribute to HR discussion and continual improvement

Accountabilities:

·         Clarifying instruction and information to ensure it is correctly understood

·         Escalating issues, potential issues and any unclear instruction as required

·         The timely and accurate completion of routine and assigned tasks and processes

·         Ensuring confidentiality and integrity of employee information is preserved at all times

Requirements:

·         Obtained or working towards a Bachelor’s Degree in HR, Business Administration or related field (HR Focus Preferred)

·         0-2 years relevant experience – ideally completed at least an internship in a related environment

·         Strong career interest in the Human Resources Field

·         Must be a fast learner, with high attention to detail

·         Ability to multitask and prioritize assignments based on urgency

·         Strong time management skills

·         Able to work independently and be flexible with working hours

·         Enthusiastic, proactive attitude and a good team player

·         High proficiency in Microsoft Office (Excel, Outlook, PowerPoint and Word)  

·         Must have excellent command of English – both written and verbal
