About the Role
- Provide administrative support to the Secretariat team including managing calendars, scheduling meetings and coordinating travel arrangements.
- Manage office operations including liaisons with landlord, office supplies, equipment and facilities to ensure a conducive working environment.
- Coordinate logistics for events, including venue booking, catering, audiovisual setup and guest registration.
- Serve as the primary point of contact for members, providing information, processing membership applications, payment collections and maintaining the database, including facilitating renewals.
- Assist in budget tracking and expense management for various projects.
- Leave management to track and administer employee’s annual leave, sick leave and more.
- Responsible for planning, coordinating and executing the Annual General Meeting and Executive Committee meetings, including the documentation and compliance of notices in accordance with regulatory requirements.
- Stay abreast and source for funding priorities to support the chamber’s income stream.
- Process all employee grant applications.
- Support monthly processing of payments to vendors.
- Manage SG Mark submission fees & winners’ package payments and oversee the receipt of payments by their due dates.
- Manage SG Mark jurors account creation and onboarding.
Requirements
- 3 years of experience in administrative support, operations or event coordination.
- A good team player and be able to work independently
- Strong organisational and time management skills, with the ability to prioritise tasks, manage multiple projects simultaneously and meet deadlines.
- Good communication skills, with a service-oriented attitude and the ability to work effectively with diverse stakeholders and vendors.
- Able to handle MS Office and adapt at other digital platforms, i.e Xero, Stripe, Slack, Vendor@Gov, etc.
- Familiarity with project management tools and CRM systems.
