DYMAX CORPORATION was originally founded in January 1980 as the American Chemical and Engineering Company. Position Summary:
Overall HR and Administrative support to the local HR Manager in the Singapore Office.
Responsibilities:
HR:
- Manage Handle recruitment lifeycle of open positions including
- preparation and placing of job postings or liaison with job agencies,
- sourcing of candidates with shortlisting of CVs and arrange interview scheduling with hiring depts
- after screening and selection, to initiate new hire on-boarding administration, incl. creation of P-file, arrange orientation schedule & OJTs, raise requests for IT access and email signature
- liaison with HR system vendor on the maintenance and update of employee database, including system queries and support raised by employees
- Enrol for insurance coverage
- Manage exit process including
- processing and tracking of resignations/terminations
- arrangement of exit interviews
- raise IT exit form
- send and follow up clearance form
- liaison with HR system vendor on the update of employee database
- terminate insurance coverage
- Arrange OJT sessions and follow up records completed within scheduled timeframe. Update OJT status report.
- Tracking, applying and terminating work passes.
- Liaise with HR system provider for any employee data update, troubleshooting or queries.
- Arrange trainings, update training records and ensure evaluation forms are returned on time
- Continual maintenance of ISO records for OHS, Covid-19 related, ie. Training & Communication records
- Covid-19 related support, incl. visitor and travel requests
- Prepare and draft letters for employees, when requested
- Process and update employee outpatient medical and health screening claims record. Upload on MOM website where required.
- Submission of group insurance claims with follow up with agent and employees
- Schedule and arrange annual medical screenings (employee welfare benefit, occupational health, pre-employment)
- Verify employee leave records in the HR system monthly, generate bi-annual reports to depts for leave balance status and submit statutory leave claims to government bodies.
- Handle employee welfare like ordering of festive gifts, festive meals, gifts for occasions, etc.
- Prepare and organize monthly Company meetings, incl. consolidation of ppt from presenters.
- Organize and file HR documents, maintain HR shared drive.
- Any other HR related projects or duties as assigned by the Management or led by Asia HR team
Administration:
- Order of pantry and office supplies.
- Liaise with vendors on office maintenance and contracts including pest control, water dispenser servicing, carpet washing, etc.
- Season parking application and updates.
- Update and maintain telephone listing.
- Organize and file administrative documents.
- Any other administrative related duties as assigned by the Management.
Skills/Qualifications/Requirements:
- Must possess a Certificate / or Major in Higher Nitec / Diploma / Degree in Human Resource / Business Administration
- Proficiency in Microsoft office applications especially in Excel.
- Good communication and interpersonal skills.
- Meticulous, organized and able to work well in a lean team.
- A positive attitude and mature disposition
- Minimum 4 months of commitment period
