Key Responsibilities:
• Providing administrative support and other administrative duties to HR department
• Answer and direct phone calls
• Supply information regarding the organization to the general public, clients and customers.
• Handle booking of meeting rooms
• Ensure the meeting rooms are clean & tidy at all times
• Greet guests and escort them to the meeting rooms
• Serve refreshments to guests and organize catering
• Monitor visitor access and maintain security awareness
• Prepare correspondence and documents
• Schedule appointments
• Prepare and mail local normal and registered mails
• Prepare local courier (arranging with courier company, preparation of consignment note)
• Prepare overseas courier (packing, preparation of airway bill & pro-forma invoice)
• Receive / collect and distribute mail, faxes, documents etc to recipients
• Be the first point of contact for maintenance issues eg Inform building maintenance on malfunctioning lightings, air conditioning, etc
• monitor and maintain office equipment
• Any other duties as assigned by the management from time to time
