Job Description

Responsibilities:

Executive Support:

  • Assist in managing the Managing Director's calendar, including scheduling meetings and appointments.
  • Help screen and handle correspondence, emails, and phone calls.

Administrative and Clerical Tasks:

  • Handle basic correspondence, such as emails and phone calls.
  • Assist in organising and maintaining files, both physical and electronic.
  • Order and maintain office supplies.

Meeting Coordination:

  • Assist in organising meetings, preparing agendas, and taking minutes.
  • Liaise with attendees to confirm meeting details.

Travel Arrangements:

  • Help coordinate travel, accommodation, and itineraries for business trips.
  • Prepare travel expense reports.

Communication Management:

  • Act as a point of contact for internal and external stakeholders.
  • Handle confidential and sensitive information with discretion.

Office Management:

  • Assist in maintaining an organised office environment.
  • Help coordinate maintenance and repairs of office equipment.

Project and Event Coordination:

  • Assist with special projects and initiatives.
  • Help plan and coordinate corporate events, meetings, and functions.

Liaison Role:

  • Act as a point of contact for the Managing Director with all internal and external stakeholders.
  • Ensure timely and accurate dissemination of information and follow-up on pending issues.

Lead Generation and Ad Hoc Tasks:

  • Assist with lead generation activities and maintaining a database of leads.
  • Handle additional tasks as needed, such as preparing marketing materials.

Research and Analysis:

  • Conduct market research to identify trends and potential business opportunities.
  • Assist in analysing data and preparing reports.

Qualifications:

  • Currently pursuing a degree in Business Administration, Management, or a related field.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite.
  • Ability to handle confidential information with discretion.
  • Strong attention to detail and problem-solving skills.
  • Flexibility and adaptability to handle a variety of tasks and changing priorities.
  • Proactive attitude and willingness to learn.
  • Ability to work independently and take initiative.
