Responsibilities (Role 1)
Manage Reception duties:
- Answering, screening, and directing all incoming calls to the appropriate personnel and respond to queries
- Attending to incoming guests and service provider henceforth liaise
- Receive and distribute for internal and external mails / documents
- Manage the Company's local and overseas courier services
- Update the Company telephone directory in the portal.
- Franking of mails.
Assist in updating of employee office seating arrangement
- Support and coordinate the company renovation projects, relocations, office planning, recommendation & space optimization.
- Assist in facilities management such as maintenance and repair of equipment, pest control, cleaning, and office copier.
- Assist to issue and manage of Company security card such as door access system.
- Liaise with building Management on facilities repair.
- Assist to control the office inventory and cost for pantry supplies, stationery, and equipment in line with business requirement.
- Assist to manage and replenish of company branding materials supply such as name cards, letter heads, staff ID, etc
- Assist in organise company event or employee engagement programs to create a conducive work culture for employees bonding such as town halls, meetings, workshops, Dinner and Dance, farewell parties, etc.
- Any other duties as assigned.
Responsibilities (Role 2)
- Assist in booking in-coming service equipment and creation of service case in SalesForce.
- Support incoming shipment from factory by performing goods receipt to logistic department.
- Arranging outgoing shipment with feddex, UPS, DHL and local pickup on collection.
- Assist Administrative workflow by working with admin to create working instruction.
Qualifications & Requirement
- A current Poly undergraduate or fresh graduates in Business Management or relevant majors.
- Able to commit full time with at least 3 months.
