About the Role:
We are seeking an exceptional Executive Assistant to support a busy executive with multiple projects across various businesses. The role will involve a mix of professional and personal tasks, ranging from managing calendars, handling emails, and coordinating travel arrangements to assisting with personal errands such as booking restaurants and holidays. The ideal candidate will be proactive, highly organized, detail-oriented, and possess excellent communication skills. The ability to handle multiple priorities, exercise sound judgment, and maintain utmost confidentiality is essential. This part-time role offers a flexible schedule and an opportunity to work closely with a dynamic executive.
Responsibilities:
Manage executive's calendar and schedule appointments, ensuring optimal time utilization
Handle email correspondence, prioritize messages, and respond on behalf of the executive when appropriate
Coordinate and make travel arrangements, including flights, accommodations, and transportation
Assist with personal errands, such as restaurant reservations, holiday bookings, and other ad hoc requests
Prepare meeting materials, agendas, and presentations as required
Attend meetings and take detailed notes, capturing action items, decisions, and follow-ups
Conduct research and compile reports on various topics as assigned
Liaise with internal and external stakeholders, demonstrating professionalism and a courteous demeanor
Support family requirements as needed
Handle expense reports, reimbursements, and maintain accurate records
Maintain confidentiality of sensitive information and exercise discretion at all times
Requirements:
Proven experience as an Executive Assistant or similar role supporting senior executives
Excellent organizational and time management skills, with the ability to multitask effectively
Strong attention to detail and a proactive mindset
Outstanding written and verbal communication skills in English
Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook)
Ability to anticipate needs, prioritize tasks, and work independently with minimal supervision
Discretion and professionalism in handling confidential information
Empathetic telephone manner and the ability to communicate effectively with staff, clients, and stakeholders and family
Local understanding of Singapore for relevant tasks and local arrangements
