Job Description

Hiring Institution: NTU

We're seeking a dynamic and resourceful team player to join our team as Senior Executive/Assistant Manager, Research Administration. You will be working closely with the FRESH Operations Team, reporting to the Deputy Director, to support FRESH's partnership and business development strategy. This includes developing and executing FRESH's long-term sustainability plan.

Key Responsibilities:

  • Prepare and manage Contracts for all external engagements at FRESH.
  • Implement and maintain SOPs and administrative processes to ensure efficient day-to-day operations of FRESH.
  • Monitor and track budgets for FRESH projects, and provide support for overall project budget management.
  • Coordinate with external partners from academia, government health departments, and internal departments to review research agreements, service agreements, and related matters.
  • Coordinate meetings and events related to research projects, such as webinars, retreats, and conferences.
  • Manage purchasing processes, invoices, vendor communication, and payment follow-ups.
  • Ensure proper filing and documentation of all work functions, such as agreements, grants, manpower tracking, invoices and payments, grants, and publications.
  • Support the recruitment and appointment processes for FRESH staff, including on-boarding and departure procedures.
  • Coordinate meetings/conferences, visits, business travel, and staff engagement events on behalf of FRESH team.
  • Be responsible for grant reporting and compliance.
  • Support business development and partnership strategy activities.

Position Requirements:

  • Bachelor's Degree (preferably in a science-related field but not mandatory) with minimum 2 to 3 years of relevant working experience for higher education or research institutions.
  • Candidates with experience in the drafting and facilitation of research agreements would be preferred.
  • Proactive, motivated individual who is able to work both independently and in a team.
  • Ability to multi-task and handle sensitive/confidential information.
  • Excellent attention to detail and strong problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office 365, SAP, and productivity tools (e.g. Monday, Asana, Jira, ClickUp) a plus.
  • Interest in novel food industry and/or food safety a plus.
