Job Description

Job Scope

  • Coordinate and update project timeline and schedule together with Project Director, clients, and their other vendors.
  • Organize meetings and discussions with client, Project Director, and stakeholders to ensure constant communication. Attend the meetings to take minutes.
  • Liaise with staff and suppliers to ensure that project deliverables meet quality standards and are delivered on time and within budget.
  • Ensure that company meets project timelines & requirements and assist the Project Director in these tasks.
  • Manage and provide status updates of project’s internal and external dashboards and overview to Project Director and client.
  • Manage and report project budget & financial sheet.
  • Manage and correctly file digital documents into online workspaces.
  • Own project’s documentation and provide regular project reports, analytics, data, statistics to stakeholders, including crafting and writing these reports.
  • Organize events agreed upon by and manage all logistics, venue setup, and attendee list for the event (through Eventbrite or similar platforms etc.)
  • Communicate, liaise with, and manage external trainers and other freelancers, arranging and ensuring their availability for various engagements.
  • Manage a physical helpdesk to answer queries in-person (about 50-70% of the time for at least the first month), while also managing a virtual helpdesk from the physical helpdesk location.
  • Participate in brainstorming for projects and marketing/outreach campaigns of clients.
  • Assist clients in administrative work, website issues, data management, and other tasks and duties.
  • Assist in hiring, qualification, and evaluation of necessary part-time staff and/or acquiring resources needed for project completion.

Requirements

  • Degree or diploma from business, administration, management, or related field.
  • Minimum 1 year of experience in digital consulting, project management, marketing, or corporate/community training.
  • Strong and highly refined written and verbal communication, self-confidence, and self-presentation skills.
  • Proven (with case studies) ability to learn fast, think fast (critically), solve problems on the spot (creatively), and communicate such situations effectively.
  • Ability to deal with uncertainty and work with little structure.
  • Highly meticulous, detailed, able to spot potential documentation or administrative pitfalls, with little or zero error in past work.
  • Open to a hybrid work arrangement, including WFH, WFO, and secondments to client, and can learn and make the best in such unstructured environments. 
  • Experience with using marketing, branding, digital management, website design, event management, training, online customer service, and project management tools.
  • Ability to multi-task and face pressure, and to handle multiple projects or tasks at once and still be on top of all of them.
  • A passion for consulting, marketing, social causes, and digitalization.
