Job Description

Sales Order Management - Focus area : Consumable & Consignment Orders, hospital contracts management & other related duties

  • Responsible for processing a variety of sales order types in the ERP system in a timely and efficient manner.
  • Support and work closely with the business teams to ensure all orders are processed through the entire order processing cycle to meet customers’ needs.
  • Close liaison with warehouse on logistics & transportation co-ordination to ensure deliveries are well coordinated, duly delivered within the stipulated timeline.
  • Troubleshoot on any logistics or orders related issues that may arise during the outbound process
  • Ensure adherence to Regulatory standards including customs & export regulations.
  • Provide high level of customer service through prompt and courteous communication to understand their requirement, obtain feedback on service performance
  • Handle and resolve customers’ enquiries and issues promptly and effectively
  • Responsible to familiarize with the ISO13485 Quality system procedures & always operate within the guidelines.

Management of Consignment Orders

  • Ensure efficient management of consignment orders between internal & external customers & ensuring all the POD documents are promptly returned for filing.
  • Close monitoring and work closely with responsible sales team to aim for speedy receipt of hospitals' POs to bill off consignment goods.
  • Provide monthly report to update business teams on the inventory status for consignment stocks with emphasis on those long overdue consignments

Hospital Contracts Management

  • Conduct regular review and maintenance of contracts to keep contract information up-to-date
  • Creation of blanket orders in the ERP system
  • Daily releasing of blanket orders from the system in accordance to customers’ requirements.

Administration & Release of Back Orders

  • Monitor shipment arrival and release customers’ back orders from system for delivery.

Administration of Manual Delivery Orders

  • Responsible for the administration of manual Delivery Orders. Close monitoring to ensure all signed documents (POD) are received and converted to the appropriate system documents.

Goods Return & Pricing Adjustments

  • To be responsible for all forms of sales returns and pricing adjustments for orders handled by you.

Reports

  • Generate sales reports in support of sales processes

Back Up

  • Provides timely support and back-up in cross-team operations as and when required.

Filing & Archiving Duties

  • To be responsible for own area of filing (soft/hard copies)
  • Perform yearly archiving of old documents

Miscellaneous Duties

  • Miscellaneous duties as and when assigned by SOM Manager

Work Experience & Qualification

1. Polytechnic Diploma in Business Management / Engineering or equivalent

2. 1 to 2 years’ relevant experience

3. Knowledge of MS Office (Excel & Word)

4. Preferred with working experience in sales order management and AR modules of any ERP system e.g. Microsoft Dynamics D365

3. Good oral and written communication skills

4. Service orientated with good judgment to do what’s right for the Customer and the ability to build effective business relationships.
