PART A: Duties & Responsibilities
Office Administration:
- Answering of phone calls enquiries
- Handle office maintenance related matters, resolve office-related malfunctions and respond to requests or issues
- Processing of business trip applications, travel insurance, expense claims, general invoices and miscellaneous claims
- Assist in expatriates' housing matters
- Manage incoming mail and outgoing postage/couriers
- Managing office supplies and replenish when necessary
- Warehouse storage maintenance, manage and keep track of disposal deadlines
- Office assets management
- Organize monthly birthday party
- Coordinating office activities such as spring cleaning, renovations, year-end party (ad hoc)
HR operational:
- Perform HR duties from on-boarding to off-boarding matter; job posting and interview arrangement, request email creation, issue new hire access card, preparing desk phone and coordination, exit clearance with relevant party for a smooth HR operational works
- Handle employees’ medical claims, monitoring attendance & leave records administration
- Update manpower movement on a monthly basis into the organization chart, departmental headcount reports, monitor and update the company’s dependency ratio ceiling (DRC)
- Assist for training related matters including coordination or course enrolment, update & maintain training record, etc.
- Performance Appraisal Management: Assist in collating the employee’s PA returned and tabulate the score points
- Assist in drafting/reviewing the current work processes & policies
- Any other ad-hoc tasks that may be assigned by your superior from time to time
PART B: Experience & Skill-set required:
1. Diploma / Degree in Human Resource Management field or relevant professional certificates
2. At least 3 years’ experience in HR operational works / Generalist roles
3. Familiarize with HR practices and strong knowledge in local employment laws
4. Proficient in Microsoft office applications
5. Good communication, writing and interpersonal skills
6. Ability to work under tight schedules
7. Independent, meticulous, team player, positive work attitude
