Job Description

 

THE ROLE: Assistant, Academic Planning and Support Office (APSO)

Kaplan Singapore is seeking a highly motivated and proactive Assistant to join our Academic Planning and Support Office team. As part of the APSO team, you will play an essential role in ensuring efficient and effective scheduling of classes, meetings, and resources across our programs.

Key Roles and Responsibilities:

  • Participate in Projects for Continuous Process Improvement
    • Support in identifying opportunities for enhancing timetable scheduling processes.
    • Evaluate current processes and provide input on enhancements that improve efficiency and user experience.
  • Timetable Scheduling and Classroom Booking
    • Familiarity with Celcat and other timetabling related processes.
    • Familiarity of programs of study offered at Kaplan. Utilize knowledge and understanding of Kaplan programs to establish optimal policies and procedures to effectively manage classroom schedules.
    • Provide support for any ad-hoc changes, late enrolments, class splits, class cancellations, receipt of mid-term and final exam dates and room bookings for internal meetings.
    • Be familiar with the automated routines for room bookings and understanding the impact of varying parameters and settings.
    • Maximize utilization of classroom resources by:
      • Proactively managing room bookings and demand to ensure the best fit and balance of room size according to number of persons.
      • Reducing the need to outsource rooms and external spaces through active room swaps and liaison with other stakeholders.
      • Reducing facilities management costs through room swaps and advising in any short notice changes.
    • Publish classroom schedules and latest timetables to lecturers and/or students as determined by programs.
    • Liaise with program managers to gather scheduling requirements and preferences.
    • Coordinate the allocation of rooms and equipment to ensure optimal utilization of classrooms resources and.
    • Communicate updates promptly to stakeholders and maintain comprehensive documentation of any revisions made.
    • Alert Manager about impending room shortages in a timely manner.

 

Qualification

 

  • An ideal candidate should possess at least a Diploma in any discipline. Diplomas in Business, Administration, Logistics are preferred.
  • Proficiency in both spoken and written English for daily communication.
  • Experience working in facilities management department or education industry will be an added advantage.
  • Familiar with Microsoft Office, with intermediate to advanced MS Excel skills.

  • Working Hours: Mondays to Fridays: 9am to 6pm
  • Work Arrangements: On-site/hybrid/work-from-home
  • Location: Singapore (Central Area: Dhoby Ghaut MRT/Little India MRT/Rochor MRT)
