Job Description

Job Summary:

We are seeking an organized and proactive Administrative Executive to join our team. The successful candidate will be responsible for providing efficient and effective administrative support for the smooth running of our academic operations. This position requires a self-motivated individual who is detail-oriented and has excellent communication and interpersonal skills.

Key Roles and Responsibilities:

  1. Administrative Management (60%)
  • Schedule the master timetable and classroom schedules, ensuring that they are up-to-date and accurate
  • Order textbooks and course materials for printing, upload course materials to the university's learning portal
  • Prepare welcome orientation and induction materials
  • Manage assignment dispatch forms for lecturers' collection and return of assignment scripts, couriering assignment scripts to universities
  • Work on sorting out the parchment lists, certificates and transcripts, etc.
  • Prepare for materials collection, exam seating lists, exam dispatch forms and result sheets
  • Update KSS and ensure that student data is up-to-date at all times
  • Maintain a good deferred/resit/repeat follow-up and recording system
  • Prepare contracts and create sales orders for deferred/repeat/transferred students, if applicable
  • Compile data for reports for the management's review
  • Assign ad hoc administrative tasks to administrative assistants
  1. University Management (20%)
  • Liaise with universities for administrative matters (timetables, university faculty's schedules, course materials, outstanding documents from universities, etc.)
  • Work with universities on exam board reports, if applicable
  • Negotiate with universities on improving administrative processes, if applicable
  1. Cross Department Communication (10%)
  • Liaise with the LM to confirm lecturers' schedules and the Exam Office to verify assignment results
  • Liaise with SFS for issuing credit notes
  • Respond to government agencies such as ICA, CPE, Police, etc on time for all enquiries
  1. Teamwork & Personal Development (10%)
  • Communicate regularly with the Frontline Counterpart to achieve work efficiency and effectiveness
  • Provide support to other members in the organization wherever necessary
  • Attend training as required
  • Propose ideas for work improvement

Requirements:

  • At least 1 year of relevant experience in administrative support, preferably in the education industry
  • Proficient in Microsoft Office applications, particularly Excel and Word
  • Excellent communication and interpersonal skills
  • Highly organized, detail-oriented, and able to work independently
  • Ability to prioritize and multitask in a fast-paced environment
