Job Description

Reporting to both the Office Manager and HR Manager. Your role will include but not limited to:

Admin

· Greet guests in a professional manner, serve beverages to guests (if required) and notify staff of guest arrival

· Answer and route all incoming calls in a timely and courteous manner

· Update phone directory

· Handling all incoming and outgoing courier and mail services

· Assist Admin Manager to prepare travel authorization form and make travel arrangement (flights and hotels)

· Experience in purchase of air tickets and booking of overseas accommodation

· Apply travel/business visa and travel insurance for staff

· Prepare and check business expense claims for staff who travelled including of updating project travel records

· Prepare billing receipts and documents for client billing

· Assist in the translation of Chinese emails or documents (if required)

· Responsible for office stationeries and inventories

· General upkeep & maintenance of conference/meeting room and office areas

· Maintenance and follow-up of staff records on Timesheet system

· Weekly sorting of photocopier paper

· Responsible for liaising with suppliers on servicing of office machine/appliances (ie. water-dispenser, air-con, fire extinguishers etc)

HR

· Plan and support company-wide activities including staff events

· Keep track of staff movement eg staff attendance

· Assist in HR administrative matters such as arrange for interviews, leave application management, new hire onboarding, staff exit clearance etc

· Register of new hire finger-print for attendance

· Enroll/terminate staff medical benefits


Requirements

·         Diploma in any fields

·         At least 3 years of admin related experience

·         Familiar with administrative, clerical procedures and business travel arrangement

·         Well organized and attention to detail

·         Professional personal presentation

·         Possess outgoing, pleasant and pro-active personality

·         Good communication and interpersonal skills

·         Independent, resourceful and responsible

·         Bilingual in English and Chinese as interpretations& translation of Chinese documents are expected
