Role Overview:
We are seeking a motivated and detail-oriented Sales & Operations Assistant (intern) to assist our events team under Glasstech and Fenestration Asia. The ideal candiditae is a team player who is proactive, highly-organised and eager to learn about events management in a professional setting.
Responsibilities:
- Pre-event preparation to on-site from sponsors and exhibitors
- Management of exhibitor profiles, contracts and contractor databases
- Onboarding administration
- Collating required information submission
- Assist in the processing & confirmation of exhibitor information and to monitor exhibitor responses to ensure all necessary information is received on time
- Monitoring fulfilment deliverables on sales contract, etc
- Monitor contractors/supplier vendors deliverables based on submission by exhibitors and sponsors
- Ensure first-class customer communications (exhibitor/sponsor/contractor)
- Manage scheduled communication to go out at key stages of the event process regarding all logistical detail
- Updating and maintaining show floor plans
- Assisting with travel and accommodation requirements
- Assisting with branded items orders & sponsorship fulfilment
- Ensure timely communication with Project Team to ensure all Sponsors and Exhibitors (SPEX) deliverables are accorded and delivered to set up for success
- Proactively handle any arising issues and troubleshoot any emerging problems during pre and event days
Qualifications:
- Current enrolment in a related degree or diploma programme (Events Management, Tourism & Hospitality Resort Management, Project Management etc). Other applicants with relevant experience/interest will also be considered.
- An interest and apititude to work in event planning and management.
- Strong organisational skills, with the ability to multitask and prioritise in a fast-paced environment.
- Excellent communication skills, both written and verbal
- Proficiency in Microsoft Office Suite (Word, Excel, Powerpoint) and internet applications.
- Enthusiastic, humble and willing to learn and take on new challenges.
- Ability to converse in Bahasa Indonesia is an added advantage.
