Responsibilities
- To welcome visitors, candidates at reception and attend to calls
- Handle all daily incoming and outgoing correspondence
- Support HR Manager on the recruitment activities ie. ICIMs to fulfill the organization's manpower requirement including On Boarding, Orientation and Off Boarding for leavers
- Application for new work passes and renewal/cancellation
- Liaise with Insurer Broker on New hire and Leavers details. Point of contact on employee insurance queries
- Support the learning and development activities
- Generate HR-related documents (eg. Employment certification letters, confirmation letter etc.)
- To support, coordinate company events management - D&D/Birthdays/CNY/Christmas and any other office celebrations
- To support employee benefits and welfare programme - Birthday e-card, weekly fruits, monthly birthday cakes, hampers and wreath
- Raise Payment Requisition, online order and collection of Birthday /Gifts vouchers
- To order and maintain inventories for stationeries, pantry and any office related items
- To submit Purchase Requisition for orders & purchases and liaise with Finance for any issuance of cheque
- Perform administrative duties, such as, filing, scanning, compiling documents, invoice, etc.
- In charge of office lighting, aircon (quarterly), Office disinfection and carpet (biyearly) maintenance, EMA License renewal
- Liaise with building management & employees for any season parking related matters
- To liaise with external vendor on employee IDD account set up
- To update company internal telephone listing/ Panel doctor list
- Any other adhoc duties as assigned by immediate supervisor
Travel
- To update and renew corporate hotel rates for Singapore and Batam
- Manage travel arrangement such as Ferry schedules, visas application, transportation and accommodation if needed.
- To liaise with local visa agent for submission, application and renewals of various visa
- To submit any travel itinerary and invoices to Finance for processing of payment
