Junior Documents Controller- Fresh Graduates From Polytechnics Welcome to Apply


THE ROLE

 Junior Documents Controller is an individual contributor reporting to the team lead. The responsibilities include day-to-day liaison with clients and internal stakeholders at all levels, under the supervision of the team lead. The incumbent will be exposed to a full range of Singapore immigration work, in particular, the filing of Permanent Residence (PR) and Citizenship applications. This role is responsible for developing and maintaining a strong knowledge of Singapore inbound immigration regulations and policies. The individual must also be able to effectively use this knowledge to offer high quality, customized and personalized service to every single client of the company. Initial training, guidance and supervision will be provided. This role can lead to positions of increasing responsibilities and exposure with attractive remuneration packages.

KEY RESPONSIBILITIES

  • Manages the day-to-day correspondences with clients and key stakeholders with regard to their Singapore immigration application processes
  • Organizes, drafts and reviews immigration application packages
  • Files error-free Long Term Visit Pass (LTVP), Permanent Residence (PR) and Citizenship applications to the Immigration & Checkpoints Authority (ICA)
  • Liaises with various government agencies (MOM / ICA / EDB / etc.) on progress/delays, whenever and/or whichever required
  • Liaises with Third-Party Vendors to support the client with translation and notarization etc.
  • To be the go-to for every allocated client throughout their entire application process from a compilation of documents to completion of formalities, mainly but not limited to: Pre, post submission and/or post results
  • Attend trainings organised to stay updated on Singapore immigration matters
  • Liaises with clients for collection of documents or handing over of their application packages
  • Manages clients and documents databases
  • Meets monthly KPIs set by the Management
  • Assists with any other general administrative work

 

QUALIFICATIONS & EXPERIENCE 

  • Diploma / Advanced / Higher / Graduate Diploma in any field
  • Basic interest in the working of the Government agency, i.e., Immigration & Checkpoints Authority (ICA) or Ministry of Manpower (MOM), or in a documented procurement and/or immigration application business, handling a broad clientele range
  • Able to work systematically within given deadlines
  • Able to be independent and set priorities for tasks, taking into consideration client delivery expectations and client service standards
  • Naturally meticulous with the ability to produce concise, well-organized documents with excellent writing skills
  • Able to effectively translate clients’ viewpoints and/or requests into articulate and sound documents within ICA’s reviewing standards
  • Language skills: Fluency in English and Mother Tongue, other languages are advantageous.
  • Writing skills: Fluent in English (in particular, the ability to craft profile details for clients based on information provided)
  • Required computer skills: Microsoft Office, Adobe PDF
