Job Description

A Reputable International Business School is excited to welcome a Contracted Academic Affairs Executive to their team. At the heart of our campus experience, the Academic Affairs department plays a pivotal role in shaping students' educational journey. Every interaction with our dedicated staff influences the quality of this experience.

Role Overview: As the Executive, Academic Affairs, you'll ensure the seamless operation of assigned programs by overseeing logistical and administrative aspects. Reporting to the Program Manager, you'll collaborate closely within and beyond the Academic Affairs team to create a positive environment for all stakeholders.

Responsibilities:

Course Scheduling:

Prepare and communicate approved program schedules in ESSEC's scheduling system. Manage classroom bookings and changes under Program Manager's guidance.

Student Support:

Supervise program-related activities such as inductions, attendance monitoring, exams coordination, and grades entry. Maintain students' records in consultation with Program Manager.

Teaching Staff Assistance:

Provide program-related support to Professors and external lecturers, including contractual documentation.

Curriculum Events:

Coordinate and execute planned activities for study trips, orientations, seminars, workshops, and program-specific events. Arrange venues, manage logistics, and assist with travel claims and reimbursements.

Program Finances:

Consolidate and update program expenses. Initiate program-related purchase requests in procurement system.

Additional Support:

Organize virtual meetings and teleconferences in collaboration with counterparts worldwide. Assist with administrative tasks, file management, and presentation preparations.

Qualifications and Skills:

Experience: Minimum 2 years in Program Administration and Coordination within Higher Education or a strong passion for learning and dedication to the role. Education: Diploma/Degree qualification. Attributes: Meticulous, organized, excellent time management in a fast-paced environment. 

Collaboration: A mature team player with ability to work both independently and collaboratively.

Software Proficiency: Proficient in MS Office; experience with Google Tools and basic knowledge of Moodle and Celcat is advantageous.

Decision Making: Capable of making preliminary decisions with proposals and reviewing/negotiating simple payment contracts with external vendors.
