Job Description

As an IT Procurement & Finance Management Intern in the Group IT Project Management Office (PMO), he/she would work closely with IT Demand Drivers (DDs), Project Managers (PMs), IT Service Delivery Managers (SDMs), and other departments including Legal, Tax, Accounts and Finance in managing IT Sourcing, Procurement and Payment matters.


He/she would also act as an ambassador to promote compliance to IT Procurement Policy, Standards and Processes.


JOB DESCRIPTIONS AND COVERAGE

  • To assist the Group IT Procurement & Finance Management Lead to manage:
  • Procurement matters:

Collaborate with DDs/PMs/SDMs to ensure IT purchase requirements are aligned with business needs.

Collaborate with DDs/PMs/SDMs to ensure clarity of IT purchase requirements. 

Negotiate contracts with external IT vendors to secure advantageous pricings and terms.

Collaborate with DDs/PMs/SDMs and other departments including Legal, Tax, Accounts and Finance to screen and review purchase terms and conditions. 

  • Payment matters:
  • Resolve payment-related issues to maintain good vendor relationships.

Perform checks and route invoices to responsible team leads for verification and approval.

Update costs in internal tracking spreadsheets and ERP systems, as required.

Support paperwork and administrative tasks for IT procurement activities including administering and filing NDAs and contracts.

  • Support paperwork and administrative tasks for internal cost recovery activities.
  • To act as an ambassador to promote compliance to IT Procurement Policy, Standards and Processes.

 

DESIRABLE QUALIFICATIONS & COMPETENCIES: 

Meticulous, detailed, and good with numbers.

Good organizational and time-management abilities.

Good with Microsoft Office applications (i.e. Outlook, Teams, Excel, Word and PowerPoint).

Prior experience providing administrative support to Finance/Accounts or IT department would be a bonus.

Exposure to paperwork involving procurement and invoice.

  • Talented in negotiations and networking.
  • Self-driven and disciplined.
  • Spontaneous to contribute in a team-oriented environment.
  • Able to multi-task.
