Wipunen Asia is a small and nimble organisation. Each functional team will have 1-3 members, and your colleagues work in several geographical locations. That means may feel isolated from time to time, and you need to work independently to achieve your objectives.

We do a lot of different things. One day you're sent to pick up coffee, the next you're leading a workshop for the entire firm. That means your responsibilities may vary substantially, and you will need to "wear multiple hats".

There is a lot to learn. You may have prior experience, but between learning about our firm and becoming adept with our internal processes, you'll likely feel "underwater" for the first several months. However, if you're an ambitious and driven individual, you will enjoy the steep learning curve.

Job Description

THE ROLE

The role of an Executive Assistant is to provide assistance to the CEO in all matters related to running the firm; manage information flow, communicate information, and keep projects on track.

With a three-year track record and top decile returns, Wipunen Asia is looking to grow its US$ 60+ million investment fund. You will work side-by-side with the management team and play an important role in the firm’s growth.

Organize information

  • Keep the CEO's inbox organized, triage and draft replies to e-mails and manage his calendar 
  • Prepare agendas, participate in meetings and follow up on action items
  • Review material, ideas and information and figure out what's important

Provide assistance

  • Assist in preparing material and communications on the executive's behalf
  • Perform minor duties and maintain records
  • Make sure the CEO and the people around him can focus on their core tasks

Facilitate success

  • Facilitate the successful rollout of various projects within the firm, working with the senior team to identify and knock down barriers to success
  • Train and coach others, as well as facilitate their success, by becoming a champion in those projects, systems and skillsets that are essential for the firm's success

REQUIREMENTS

We are looking for individuals with the willingness to stretch beyond his or her comfort zone to assume new responsibilities.

Professional experience

  • Degree in business or another relevant discipline
  • Proven track record in getting things done
  • Experience of working in a team

Individual requirements

  • Outstanding communication skills and complete professional fluency in English
  • Highly detail-oriented personality combined with the ability to multitask and prioritise if needed
  • A problem solver and decision-maker with the ability to structure thoughts and ideas clearly
  • A mindset of continuous improvement and process optimisation
  • Strong business ethics and values to align with the corporate culture
  • High level of emotional intelligence and ability to read situations and people
