Job Description

Looking for an experienced support staff with high initiative and good command of English to support the Managing Director in all aspects of his role.
Requirements:
A person who approaches tasks in a positive and proactive manner, with initiative to find solutions and solve problems.

Tasks will include:

  • Diary management: coordination of all meetings including attendees, location, supporting materials, and take notes of meeting for subsequent follow up where required
  • Expenses: verify all claims submitted by staff or vendors are accurate and in accordance to internal policy, thereafter prepare payment cheques
  • Telephone and email management: be the first touch point in screening calls and enquiries, for immediate self-handling or assign to correct parties for follow up
  • Support other staff members as directed by Managing Director (e.g. paperwork, follow ups)
  • Internal People Events (e.g. townhall sessions with workers, retreats): in charge of organizing such events from resource planning to execution and secretary roles
  • Manage Facebook, website and magazine features: generate articles regarding completed projects, unique features, and news updates
  • Manage office/factory sundry and work supplies e.g. refreshments, toners, printing paper

We are looking for an experienced support staff, preferably with at least 2-3 years’ of relevant experience in the creative industry or interior design with:

  • High initiative to independently find solutions and solve problems (e.g. processing staff's ICT claims, sourcing reliable vendors for rooftop awnings)
  • Good command of English
  • An effective communicator to liaise with vendors and partners (many of which are Mandarin/Hokkien-speaking)
  • Competent in MS Office Skills; Word, Excel and PowerPoint and other social media tools
  • Enjoy working in a SME set up

Working hours : Mon - Fri 0900 - 1700
Working location : Woodlands
